OCLC CatExpress Monthly Transaction Reports

Note: As of mid-July 2017, CatExpress transaction reports are no longer available through OCLC's Product Services Web. They are now available exclusively through WorldShare Collection Manager, under the My Files section of the WorldShare Metadata tab.

As in the past, reports are posted monthly, and remain available for 90 days. Each report lists transactions for the current month's activity and year-to-date activity (year-to-date activity is for the July 1 through June 30 subscription year, not the calendar year). There is no extra cost to access the Reports; they are included as part of your CatExpress subscription.

Why do you need to know how much of your CatExpress subscription you have used?

Libraries who exceed their subscription limit may be charged for each record over the limit. If you monitor your usage and don't go over your subscription limit, you can avoid having to pay any extra charges at the end of the subscription year.

How do I access my library's CatExpress Monthly Transaction Reports?

  1. Login to your library's unique WorldShare URL, which will have the following format: https://yourlibrary.share.worldcat.org/wms (replace yourlibrary with your library's unique identifier)

    If you've forgotten your library's WorldShare URL follow these instructions to find it.

    If your library doesn't have a WorldShare account or access to WorldShare Collection Manager, complete and submit this request form.

  2. Once logged In to the WorldShare interface, navigate to Metadata > My Files.
     
  3. Click Downloads.
     
  4. Select Reports from the Filter by drop-down list.
     
  5. In the Action column, click Download. Depending on your browser you will be prompted to open or save the file.
     
  6. Save the file to your local workstation in its original CSV (comma-separated values) file format. Do not change the .csv file extension.
     
  7. Log out of WorldShare.
     
  8. Open the file with a spreadsheet program like Excel to review your usage.

How do I know how many titles are left in my library's CatExpress subscription?

To determine how many units/setholds are left in your CatExpress subscription, compare the "Total Units" column and the Year to Date "Setholds" column.

The "Total Units" column is the number of units/setholds your library has purchased for OCLC's current fiscal year (July 1-June 30). This is the first column of numbers on the report.

The Year to Date "Setholds" column shows how many titles your library has cataloged so far for the fiscal year.  This is the 6th column of numbers on the report.  "Setholds" are counted each time you click the "Save to Catalog" button.  This attaches your OCLC symbol to the bibliographic record in WorldCat, indicating that you own the item.

The Reports also include:

  • Deletes -- The number of times you delete your institution symbol from a record.
  • Searches -- The number of searches you performed in CatExpress.
  • Records Delivered -- The number of records in your OCLC-MARC Subscription, including all records cataloged for the first time and subsequent times and all records that have been deleted.
