OCLC CatExpress Monthly Transaction Reports

Are you wondering how many titles you have left in your CatExpress subscription? Do you need accurate statistics on your cataloging activity? The OCLC CatExpress Monthly Transaction Reports have what you need!

Every month OCLC posts Monthly Transaction Reports detailing your library's CatExpress cataloging activity on the Product Services Web. The Reports list transactions for the Current Month's activity and Year to Date activity. Year to Date activity is for the current subscription year, which is OCLC's fiscal year, running from July 1-June 30. Reports remain available for 90 days. There is no extra cost to access the Reports. They are included as part of your CatExpress subscription.

Why do you need to know how much of your CatExpress subscription you have used?

Libraries who exceed their subscription limit may be charged for each record over the limit. Click here to see the current Excess Usage charge. If you monitor your usage and don't go over your subscription limit, you can avoid having to pay any extra charges at the end of the subscription year.

How do I access my library's CatExpress Monthly Transaction Reports?

There are two ways to access the Monthly Transaction Reports - from within CatExpress or by going directly to the Product Services Web site.

To access the Reports while you are logged in to CatExpress:

  1. On the Home page, under Useful Links, click the Product Services Web link
  2. A new window will open up, bringing you to the Product Services Web site and you will already be logged in as your library.
  3. Under Reports and Statistics, select "OCLC CatExpress Transaction Reports".
  4. Links to the Reports for your library for the last three months will come up on the next page.

Alternatively, you can go directly to the Product Services Web without logging in to CatExpress first:

  1. Go to http://psw.oclc.org/
  2. Click on download records and reports
  3. On the next screen, under Reports and Statistics, select "OCLC CatExpress Transaction Reports"
  4. Enter your CatExpress Authorization number and Password.
  5. Links to the Reports for your library for the last three months will come up on the next page.

How do I know how many titles are left in my library's CatExpress subscription?

To determine how many titles are left in your CatExpress subscription, compare the "Total Units" column and the Year to Date "Setholds" column.

The "Total Units" column is the number of titles your library has purchased for the current fiscal year - July 1-June 30. This is the first column of numbers on the report.

The Year to Date "Setholds" column shows how many titles your library has cataloged so far for the fiscal year.  This is the 6th column of numbers on the report.  "Setholds" are counted each time you click the "Save to Catalog" button.  This attaches your OCLC symbol to the bibliographic record in WorldCat, indicating that you own the item.

The Reports also include:

  • "Deletes": The number of times you delete your institution symbol from a record.
  • "Searches": The number of searches you performed in CatExpress.
  • "Records Delivered": The number of records in your OCLC-MARC Subscription, including all records cataloged for the first time and subsequent times and all records that have been deleted.

The reports are available in both a text format and in a comma-delimited format, which can be loaded into a spreadsheet.
